Add a Project and Generate Safety Plan & induction
1. Project Details
Enter the Project / Site details
Select the Template for your Company
Note:
You can allocate your own Job/Project Number or leave it blank for an auto assigned number.
You can set the start/finish dates if known (this can be updated later).

Site Roles
Click on the arrows
next to Site Role Name to assign in the project
(You can come back to change these at anytime)

Select Person from the contacts already added for your company

Click Save

You will now have a project number assigned.
You can change the project numbere here or later on (See the bottom of this guide for steps on this)
Click Next

2. Notice Board
SiteBook will build the Site Safety Notice, with the contents copied from a Template.
Check the details are correct.
Add any Site Hazards e.g. Overhead Power Lines
Click Next

3. Generate the Safety Plan
SiteBook will generate a Site Safety Management Plan (pdf) and Worker Induction slides based on information on this page. This will use your company’s Project Template. You can check your Project Template and edit for all future projects to have the same information (Menu→Admin → Project Templates).
Instructions:
- Review the Project details.
- Enter (or Delete) the Nearest Hospital/s.
- Review the Evacuation Assembly point.
- Press the Generate Button

4. Review the Safety Plan
After you have Generated the Safety Plan the site will take you to the next step. Here you can click on the Title to open the Work Health & Safety Management Plan and check the following:
- The Site Location
- Site Manager contact details.
- The nearest Hospital is correct.
From here you can download a copy or go back to continue the set up by clicking on
at the top of the page or
at the bottom.
Click Next

5. Induction Notices
This section is pre-filled from the template. Confirm you are happy with everything.
Click Next
Continue to check the details are correct over the next pages as you go down the items listed to the left of the page:

6. Induction Cards / Tickets
The defaults are already added to each project:
You can add more cards if needed for the specific project.
Example for High Risk Work:
Drop down card type and Select Card Type → Add Card

This will show the default card requirements

Meanings For Each Card Option

Ask - Will ask the worker for the card in question but this will make the card optional and not required
Worker - Each worker must hold the reflected card
Team - Overrides each worker and indicates that someone in the Team holds a particular card ie: First Aid (These cards types will cover the team)
Evidence - Worker must provide photo evidence and licence/card number
- This will delete card/ticket from the list
7. Site Attendance
The default items will be selected.
Tick ''Ask about Emergency Contact''
If you need to add anything to this list check the box next to this.
ie; Ask for Medical Conditions
Click Next

Site Induction Options/Attendance
- Leave Site Induction Options to default (Website - No Download)
- Auto Sign-Off Site at setting can be change to auto sign off all staff on site in case they forget. You can update this to desired time.
- Check the box next to Show Emergency Notification - This will allow you to message all staff on site at once in case of an emergency.
Click Next

8. Notifications
This step has been set up with the required defaults in your template.
This section should not need changing.
Click Next
9. QR-Code & Signs
Here you will see the SiteCode
This code will be used for those scanning the QR code at each site.
The QR code will be the same for all sites but the SiteCode will be different.
We can organise custom artwork to have your companies logo on the top to keep things on brand.
If don't have access to a local corflute printer we can organise them for you.

Custom QR Codes
You can organise a custom QR code per project site if you choose to.
We recommend to stay with the generic QR code. This will save on cost and printing a new sign/corflute per project.
Click Next

You have now completed the Project Set up for this site.
You will be taken back to see the Contractors page within this project.
You can click on Assign to link/add your contractors to this project.
